TravelPool Help Centre

Everything you need to organise a group trip. For a visual walkthrough, use the ? button at the top of the app and choose a guided tour.

Start here — how TravelPool works

  • TravelPool keeps the four jobs of a group trip together: people, decisions, plans and money.
  • Start on your trip Dashboard. Check What needs attention first — it highlights useful next actions.
  • Use Decisions while the group is choosing. Once something is agreed, keep the confirmed information in Plans. Record shared costs in Money.

Create or join a trip

  • Create a trip from Home and enter what you know. Dates and destination can be updated as the group decides.
  • If someone invited you, open their TravelPool invite and sign in or create an account with the invited email address.
  • You can belong to more than one trip and switch between them from Home.

Members and invitations

  • The organiser manages trip membership and invitations.
  • Only invite people who should have access to the trip. Remove or revoke access when somebody should no longer participate.
  • Trip members can see the group's shared trip information, subject to their role and TravelPool's privacy controls.

Decisions

  • Use Decisions for questions the group still needs to settle: dates, destinations, hotels, restaurants, activities and similar choices.
  • Create a clear question, add the useful options and include links/details where they help people compare.
  • Members vote from their own account. Review the result and confirm the final choice when the group is ready.
  • A decision is for choosing; Plans is where confirmed arrangements belong.

Plans and itinerary

  • Use Plans for confirmed or actionable trip arrangements such as flights, accommodation, activities, meals and transport.
  • Add dates, times, locations, booking information and useful links where available.
  • Keep the itinerary current so the group has one reliable place to check what is happening.

Money

  • Add a shared expense when somebody pays for the group. Select the payer, amount and exactly which travellers share the cost.
  • Check the split before saving. TravelPool records balances in the trip currency and avoids floating-point rounding errors by storing money in minor units.
  • Suggested settlements show a simple way to repay balances. Only record a settlement after the money has actually changed hands.
  • TravelPool is a record-keeping tool: it does not hold, send or receive your money.

Preferences and compatibility

  • Each traveller can complete private preferences such as budget, dates, airports, accommodation, activities and accessibility needs.
  • Individual answers remain private. The group receives an anonymised summary only when the privacy threshold is met.
  • Use the summary to spot agreement and conflicts before the organiser spends time researching unsuitable options.

TravelPool AI Concierge

  • TravelPool AI Concierge helps explain the current trip and can guide you towards useful next actions based on TravelPool data.
  • Treat suggestions as planning assistance, not a booking confirmation. Check important travel prices, availability, entry requirements and provider terms with the relevant official provider before committing.

Notifications and What needs attention

  • Notifications surface activity that may need your attention. The bell shows unread items.
  • What needs attention on the trip dashboard prioritises useful next actions, reducing the need for the organiser to chase everyone manually.

Guided tours

  • Tap the ? button in the app header at any time.
  • Choose Decide together, Keep plans together, Keep money clear, or Show me everything.
  • Use Next and Back to move through a tour. Choose Skip tour or the close button whenever you want to return to the app.

Account and password

  • Open More to change your display name, request a secure password-reset email, or sign out.
  • Password reset links are security-sensitive. Do not forward or share a reset email, link or verification code.
  • If you did not request a password reset, ignore the message and do not use its link.

Privacy and account deletion

  • Open More → Privacy for details about personal data and privacy controls.
  • You can request account deletion from More. A 30-day window allows you to cancel the request before anonymisation completes.
  • Shared financial records may remain without identifying profile fields so other travellers retain an accurate group history.

Troubleshooting

  • If a page looks out of date, refresh it once and check your connection.
  • If an invite does not work, ask the organiser for a current invite and make sure you are using the intended account.
  • If a reset email does not appear after a few minutes, check Spam/Junk and confirm the address matches your TravelPool account before requesting another.
  • For a reproducible problem, use More → Report a bug and include what you were doing, what you expected, what happened and your device/browser. Never include passwords, reset links, API keys or other secrets.
